Privacy Policy

This Enterprise Alumni Platform Privacy Policy ("Privacy Policy") is provided by the member firms and entities of Baker McKenzie International ("Baker McKenzie", “Firm”, "us", "our" or "we"). This Privacy Policy describes how the Firm will collect, use, share and otherwise process the personal data which you provide to us when you use the Enterprise Alumni Platform (the “Platform”).

The Platform has been created to bring together the Firm’s global network of alumni, offer a space to reconnect with former colleagues, expand your professional network, stay informed on Firm news and events, and celebrate the achievements of the Firm’s alumni community around the world.


Who is the controller of my personal data?

Each of the member firms and entities of Baker McKenzie acts as an independent controller of personal data in relation to your use of the Platform. The controller of the personal data processed on the Platform is the member firm with which you engage. For the name and contact details of the Baker McKenzie member firms and entities, please see here.

For users who access this Platform via a third party website (e.g. LinkedIn, Apple, Google, etc.), please note that Baker McKenzie is not responsible for any processing of your personal data by such third parties who shall remain independent controllers responsible for any processing of personal data on their respective platforms.  Once you start interacting directly with Baker McKenzie via the Enterprise Alumni Platform, Baker McKenzie will be a controller of any personal data you submit via the Platform and the terms of this Privacy Policy shall apply. 


Who is eligible to apply?

To use the Baker McKenzie Enterprise Alumni Platform, you must be a former member of the Baker McKenzie workforce.


How does it work?

Before you use the Platform, you will be required to submit a registration request.  This applies to all users regardless of where they are signing up from (i.e. direct request or request via a third party site (e.g. LinkedIn, Google or Apple).

You will be asked to provide some details about yourself (see further below) which shall be subject to a basic verification process and local office review to enable the Firm to check that you are a former member of the Baker McKenzie workforce. 

Baker McKenzie reserves the right, in its absolute discretion, to decline any request for registration where it has reasonable grounds to so do. The Firm does not engage in any decision making by solely automated means and all verification requests are subject to human review.


What categories of data do we collect?

The categories of personal data that will be processed through your use of the Platform include those outlined below.


Data you provide directly

During your registration (or via third-party login) the data provided may include: 

  • Basic identifiers including your name, email address and date of birth; and
  • Employment including your employment status, your industry and information on your tenure with the Firm such as the start year, end year and the office where you last worked.

Some of these fields are mandatory while others are optional. Required fields are marked with an asterisk. There is no downside if you do not complete the optional fields but you may be required to provide the information at a later date if reasonably required for any specific purpose for which you are using the Platform.


Publicly available information 

Publicly available career-related information, including but not limited to current and previous job titles, employer history, education history and professional contact details.


Data collected through your use of the Platform

Online identifiers, including IP addresses, cookies, and other online tracking data (subject always to your tracking preferences and any legally required consents) collected when you use the Platform.


Account management information

Login credentials for registered alumni, self-servicing ID, password and two-step authentication mechanism.


Use of personal data

The purposes for which we process personal data on the Platform are as follows:


Registration and verification

We process the personal data you provide to us when you apply for registration on the Platform for reasonable verification and account creation purposes.


To provide the Platform and services

We process your personal data to operate and deliver the alumni network and alumni services available through the Platform, including enabling you to connect with other alumni of the Firm.  A selection of the services which may be available via the Platform from time to time include the following:

  • Job Wall - a space for job referrals and opportunities, allowing alumni to find job openings within the community.
  • Webinar/Courses/CLE section - direct access to webinars, courses, and Continuing Legal Education (CLE) opportunities to support ongoing professional development.
  • Volunteer Opportunities - information and sign-ups for pro bono initiatives, community service projects, and other volunteer activities.
  • Networking Events - virtual and in-person events to foster connections within the alumni community.
  • Resource Library - a repository of articles, whitepapers, case studies, and other relevant materials contributed by alumni and industry experts.
  • Baker Nostalgia - virtual office tours and historical content celebrating Baker’s legacy and milestones.
  • Alumni Spotlights - showcasing notable achievements and career progress of alumni, inspiring the community.
  • Mentorship Program (only for specific alumni) - pairing alumni with current members or other alumni for mentorship opportunities and guidance.
  • Interactive Workshops - hosting workshops on various topics, from professional skills development to personal well-being.
  • Alumni Updates - receive updates highlighting key achievements, events, and other relevant information from the alumni community.
  • Surveys - regular surveys to gather feedback, gauge interests, and improve the Platform based on alumni needs.
  • Support - assistance for alumni navigating the Platform or seeking information, enhancing user experience and engagement.


To enrich and maintain your profile

We use the personal data we collect from publicly available sources to enrich your profile and to keep your profile current without requiring manual updates when your employment or professional details change.


To facilitate networking and opportunities

Enriched profiles help connect you with relevant people, employers, and opportunities within the alumni network, allowing you to communicate with other alumni through peer-to-peer chat functionality, posting and interacting with articles published on the platform, and other methods of communication.


To provide you with information regarding alumni events and services

Subject always to your preferences and applicable laws, we may use your personal data to provide information about alumni events, networking opportunities, volunteering, and other alumni-related activities, and to allow you to respond to such events and activities.


To provide you with information regarding job opportunities

Subject always to your preferences, and compliance with applicable laws, we may process your personal data in order to provide information about jobs which may be of interest to you based on your location and previously held positions, as well as allowing you to refer others within the alumni network or other individuals to specific roles advertised on the platform.


Selecting your preferences

Please ensure when signing up for the Platform that you select carefully which communications you would like to receive from us (e.g. newsletters, details of events or other campaigns). You can do so via the Email Communications section of the User Settings in your account. If you change your mind and no longer wish to receive such communications, you can update your preferences via the User Settings or if preferred you can close your account entirely.


What legal bases are relied on for processing personal data?

The legal bases which Baker McKenzie relies on to process your personal data within the Platform will depend on the relevant category of data and how you are using the Platform. The main legal bases are as follows:

  • processing which is necessary for the Firm's legitimate interests; and/or
  • consent (subject to the additional points below).

Where the Firm is relying on legitimate interests as the legal basis for processing, such legitimate interests include: strengthening Baker McKenzie’s relationships with its alumni network through knowledge sharing and community engagement, informing you of any future alumni-led events, networking opportunities and other collaborations relevant to the alumni network.


Consent

Where required or permitted under local laws, the Firm may also ask for your consent to process personal data in specific circumstances in connection with your use of the Platform. Such circumstances may include retaining your personal data to inform you of any future alumni-led events, networking opportunities, volunteering or other pro bono collaborations.


Right to withdraw consent

Where we rely on your consent as a legal basis for processing, and you wish to withdraw your consent, please contact us using the contact details below or as otherwise indicated in any communication that we send to you. 


Who will my personal data be shared with?

Your personal data will only be shared to the extent reasonably necessary to achieve the purposes of processing as further described below. 

Within the Baker McKenzie offices: the Firm may disclose or otherwise allow other entities within Baker McKenzie access to your personal data where necessary to achieve the purposes of processing described in this Privacy Policy. Other Baker McKenzie offices may process your personal data as necessary for the provision of general administrative and business support services (e.g. technology, human resources, finance, legal compliance, etc.). All access is on a strict need-to-know basis in accordance with a defined system of role based permissions.

With external service providers: personal data may be shared with external service providers  providing general administrative and business support services to the Firm or as necessary to achieve the purposes of processing. All service providers are subject to rigorous review from a data privacy and information security perspective as part of the vendor on-boarding process. The Firm adopts appropriate contractual and other measures, in accordance with applicable laws, to ensure personal data remains protected notwithstanding the use of external service providers.

With regulators, authorities, and other third parties: in limited cases, personal data may be disclosed to third parties (e.g. regulators, courts or other competent authorities, external legal advisors, insurers, etc.) where necessary in connection with legal proceedings or defending legal rights.


International Data Transfers - where will my data be processed?

The recipients with whom your personal data may be shared (described above) may be located outside the European Economic Area ("EEA") or other country of origin in a country which is not regarded by data supervisory authorities as providing an adequate level of protection for personal data. To address this, the Firm has adopted appropriate contractual measures (including the EU Standard Contractual Clauses and other locally required equivalent clauses) and other measures with external service providers and within Baker McKenzie International to ensure your data remains protected in accordance with applicable laws.


Rights regarding your personal data

Depending on the applicable laws relative to your location, you may have certain rights regarding the personal data you provide us including:

Right of access: You have the right to confirm whether your personal data is being processed and to request access to that personal data;

Right to rectification: You have the right to rectify inaccurate or incomplete personal data which we process concerning you;

Right to erasure (right to be forgotten): You have the right to request that we erase personal data concerning you in certain circumstances;

Right to restriction of processing: You have the right to request that we restrict processing of your personal data;

Right to data portability: You have the right to receive personal data concerning you, which you have provided to us, in a structured, commonly used and machine-readable format and you may have the right to transmit that data to another entity; and

Right to object and rights relating to automated decision-making: Under certain circumstances you may have the right to object at any time to the processing of your personal data, including profiling, by us and we can be required to no longer process your personal data.

Please note that the above rights are not absolute and exceptions may apply.  All requests will be considered in accordance with applicable laws. You also have the right to lodge a complaint with the competent data protection supervisory authority if you are not happy with the outcome of a request to exercise your data subject rights.


Use of Artificial Intelligence

The Firm may use Artificial Intelligence ("AI") technology to support the processing of personal data for the purposes referred to in this Privacy Policy. All such AI technology is subject to robust prior screening to ensure that it meets applicable ethical, legal and contractual requirements including in respect of data privacy and information security. The Firm has adopted appropriate policies and training for its workforce governing responsible use of AI technology to ensure that personal data remains adequately protected. In particular, the use of AI to make decisions affecting individuals by solely automated means (including in a recruitment context) is strictly prohibited. 


How long will Baker McKenzie retain personal data?

Baker McKenzie will only retain your personal data in identifiable form for as long as necessary for the purposes for which it is collected. This is subject to any legal and/or regulatory retention obligations or other legitimate reason which the Firm may have to retain data.  For further details, please contact us as indicated in the Contact Us section below.


What cookies are in use on the platform?

Baker McKenzie uses certain cookies, web beacons, and similar tracking technologies (collectively, "cookies") on the Platform. A cookie is a small text file which involves data being placed on your device when you visit a website.  The text file is stored and later retrieved from your device when you re-visit the site

The categories of cookies used and the purposes for which they are used are as follows:

Required/Strictly Necessary Cookies: these cookies are essential for the basic functioning of the Platform. They enable core functionalities such as user sessions, etc.  

Functional Cookies: these cookies provide enhanced and personalized features for users. They are not essential for the basic operation of the Platform.  If you do not allow these cookies then some or all of the features available on the Platform may not function properly.

Performance Cookies: these cookies collect information about how users interact with the Platform. Performance cookies help to improve the user experience by analyzing user behaviour anonymously. If you do not allow these cookies then some or all of the features available on the Platform may operate less effectively.

What are your options if you do not want to accept cookies?

When you first visit the Platform, you will be asked for your consent to the use of any cookies which are not classed as strictly necessary. You can manage your choices using the consent management tool provided. If you change your mind, you can adjust your preferences at any time using the Cookies Settings in the footer of the Platform.
